Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are in brief set out below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

If you make a request, we must respond to you without undue delay and in any event within one month.

To make a data protection rights request, please contact us using the contact details at the top of this privacy notice.

Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information to provide and improve products and services for clients are:

  • Consent - we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.

  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.

Where we get personal information from

  • Directly from you

How long we keep information

We only retain your personal data for as long as is necessary to fulfil the purposes for which it was collected — including to meet any legal, regulatory, accounting, or reporting obligations, or to resolve disputes and enforce our agreements.

To determine the appropriate retention period, we consider:

  • the nature, sensitivity, and volume of the personal data,

  • the potential risk of harm from unauthorised use or disclosure,

  • the purposes for which we process your data and whether these purposes can be achieved through other means, and

  • relevant legal and industry-specific requirements.

Where we rely on your consent to stay in touch (for example, via newsletters or event invitations), we will retain your contact information until you withdraw your consent or until seven years have passed since your last meaningful interaction with us — whichever comes first.

If you ask us not to contact you, we may retain a minimal record to ensure we respect that request.

When your information is no longer needed, we will securely delete it or anonymise it so it can no longer be associated with you. In some cases, we may retain anonymised data for research or statistical purposes indefinitely, as this no longer identifies any individual.

You have the right to request erasure of your data at any time. Please see [Your rights] for more information.
